InterFace is a fast‑growing technology arm of SharpData Analytics, Inc., a California‑based C‑Corp that has set up a development hub in Navi Mumbai, India. The company specializes in building deep integrations between leading Real Estate platforms, enabling agents and teams to automate repetitive sales, marketing and operations tasks. By focusing on a curated set of real‑estate‑centric CRMs and data platforms, InterFace delivers a competitive edge that helps its clients close deals faster and reduce manual effort. The culture at InterFace is built around impact, ownership and continuous learning – every employee gets to work on product features that directly affect revenue‑generating processes for real‑estate businesses.
The Executive Assistant role is a cornerstone of the CEO’s office. Reporting directly to the CEO, the assistant will act as a strategic “barometer”, constantly monitoring the executive’s schedule, priorities and emerging issues. The role is fully remote, with working hours from 7:30 PM to 4:30 AM IST, allowing the assistant to support the CEO’s global engagements and night‑time operations. The position offers a unique blend of high‑level administrative duties, light accounting, HR support, and technical coordination, making it ideal for candidates who thrive in dynamic, tech‑driven environments.
**Key Responsibilities**
1. Draft, edit, and send emails on behalf of the CEO, ensuring tone and content align with corporate standards.
2. Manage the CEO’s calendar, schedule meetings, prioritize appointments, and resolve conflicts proactively.
3. Perform minor accounting tasks such as invoice tracking, expense logging, and basic reconciliations.
4. Answer inbound calls, take detailed messages, and route queries to appropriate stakeholders.
5. Post job openings, screen resumes, and coordinate initial interview steps for the HR team.
6. Organize and maintain data platforms, ensuring documents and files are correctly version‑controlled.
7. Delegate and oversee customer‑service tickets, ensuring timely resolution and proper escalation.
8. Provide IT support for the CEO’s workstation, troubleshoot connectivity issues, and liaise with the internal tech team.
9. Create and maintain standard operating procedures for recurring executive tasks.
10. Anticipate the CEO’s needs for upcoming meetings, conferences, and travel, preparing briefs, agendas and required materials.
**Tech Stack & Tools**: Microsoft Office 365 (Outlook, Word, Excel, PowerPoint), Google Workspace, cloud‑based file storage (Google Drive/OneDrive), basic accounting software (Zoho Books or similar), HRIS tools, CRM platforms (HubSpot, Salesforce), Zapier for workflow automation, and common web‑based collaboration tools (Slack, Asana).
**Growth Path**: Starting as an Executive Assistant, high performers can transition into Office Management, Operations Lead, or even Product Operations roles, gaining exposure to strategic decision‑making and cross‑functional projects. The remote nature of the job also opens doors to global networking and potential relocation to InterFace’s physical office for senior leadership tracks.
**Why Join InterFace?** The company offers a chance to work with cutting‑edge automation technology in a niche real‑estate domain, a supportive remote‑first culture, and a clear pathway to broaden your skill set beyond traditional admin duties. Competitive compensation, flexible remote work, and the opportunity to directly influence the CEO’s productivity make this role both rewarding and career‑defining.
