Epoch AI
About the role
Epoch AI is a fastβgrowing research institute that focuses on the economic impact and technical trends of artificial intelligence. Founded with the vision of creating a publicly accessible knowledge base, the organization publishes highβimpact studies on compute trends, data scarcity, and algorithmic progress that influence policymakers, industry leaders, and the broader public. With a team that expanded from 20 to 70 members in 2026, Epoch AI operates across North America, South America, and Europe, fostering a truly global, collaborative environment.
The Talent Acquisition Coordinator role sits at the heart of Epochβs hiring engine. Reporting to the Head of People, the coordinator will own the data hygiene, reporting, and candidate communication aspects of the applicant tracking system (ATS). The position offers a unique blend of operational rigor and peopleβcentric interaction, making it an ideal launchpad for candidates who aspire to transition into fullβcycle recruiting or broader People Operations functions.
You will work closely with recruiters, hiring managers, finance, and IT teams, ensuring that every hiring stageβfrom posting to offerβruns smoothly and transparently.
Key responsibilities include
- Maintaining ATS accuracy by eliminating duplicate records, updating pipeline stages, and ensuring timely feedback.
- Configuring hiring rounds in the ATS, including interview kits, feedback forms, and permission settings.
- Creating and updating email templates, interview guides, and assessment instructions.
- Posting job openings on the company careers page and external job boards.
- Keeping a realβtime hiring tracker and generating weekly reports on pipeline volume, timeβtoβhire, stage conversion, and source analytics.
- Managing the endβtoβend administration of work tests and skills assessments, from issuance to reviewer handβoff and candidate compensation.
- Handling the careers inbox, responding to candidate queries, routing decisions, and ensuring a consistent candidate experience.
- Scheduling interviews across multiple time zones, balancing interviewer availability and candidate constraints.
- Supporting recruiters with status updates, rejection letters, and nextβstep communications.
- Gradually taking on application review and sourcing tasks, providing exposure to fullβcycle recruiting.
The tech stack revolves around Lever (or comparable ATS), Google Workspace, Excel/Google Sheets for reporting, and basic automation tools such as Zapier or Claude integrations. As Epoch continues to scale, the coordinator will gain visibility into People Operations, employee onboarding, and offβboarding processes, positioning them for a future recruiter or HR generalist role.
Why join Epoch AI? The company offers a competitive salary, comprehensive health benefits, unlimited PTO, and a flexible expense policy for learning tools. Employees enjoy a remoteβfirst culture with flexible hours, regular inβperson retreats, and the chance to contribute to cuttingβedge AI research that shapes global policy.
